Qualifications:
  • Associate degree preferred
  • Minimum of 2-5 years business office experience
  • Strong oral and written communication skills
  • Proficient in MS Word, Excel and PowerPoint
  • Must be a team player with exceptional organizational skills
  • Must have ability to learn quickly, keep confidences, and handle multiple and often changing tasks and priorities.
  • Must be able to deal comfortably with senior executives in person and on the telephone.
Major Responsibilities/Duties:
  • Provides general administrative support to the Vice President for Finance and Administrative Services and others in the executive office, including
    • Screening and prioritizing incoming calls
    • Copying and scanning
    • Maintaining an organized system of files and records as deemed necessary
    • Placing office supply orders
    • Preparing documents and travel arrangements as directed
  • Manages the Vice President for Finance and Administrative Services’ calendar with a wide-range of internal and external constituents, including organizing and coordinating high-level meetings, contacting participants, creating agendas and other presentation materials for distribution, placing catering orders, and reserving/scheduling conference rooms
  • Provides back-up coverage for and assists the Executive Assistant with administrative tasks
  • Ensures all policies are correctly formatted and posted on college policy webpage
  • Supports the Assistant to the President by
    • Ordering promotional materials and building signage
    • Compiling p-card packet
    • Archiving meeting material
    • Preparing reimbursement documents
    • Supporting major college event planning/execution
    • Gathering information for press releases
  • Verifies, organizes, and updates necessary information on executive office-specific web pages
  • Helps with tracking expenditures, processing invoices and other paperwork, reconciling p-cards, making travel arrangements, etc.
  • Coordinates use of campus space with external guests
  • Assists in mail merges and mass mail distribution of correspondence from the executive office
  • Completes any other special assignments and projects as directed by Cabinet members and the Executive Assistant
  • Provides exceptional customer service to faculty, staff, students, and guests via telephone, email, and other correspondence as directed
  • Other duties as assigned
Additional Information:
Salary: 

$12.00-$14.00 per hour DOE

Work Hours:
  • Part-time
  • 20 hours per week
  • Specific hours will be determined at the time of hire, but will typically be during regular business hours
